The contingency questions a planner has to answer
Weather. April to November is the operating season and the reason to book inside it. If conditions make sailing unsafe we move the departure or refund it — but the honest planning assumption is that a stop may be substituted, not that nothing will change.
Medical. Every multi-night programme carries a route back: the vessel diverts to the nearest ranger post with speedboat access, or meets a support vessel, and Labuan Bajo has an airport and basic facilities. Ask us to put that in writing for your risk assessment; we will.
Accountability. The company that takes your booking owns the boat and employs the crew. There is no reseller between you and the vessel, which matters most at the moment something needs deciding at sea.

- How many people fit on one boat?
- Comfortably eight to twenty depending on the vessel. Above twenty we recommend two boats sailing together rather than one at capacity — deck space per head, not cabins, is what makes a large group work or not.
- What does it cost per person?
- The rate is per vessel per night, from USD 1,550, so it falls as the group grows. Two nights on a Deluxe phinisi across twelve people is roughly USD 260 each before the park fee. Send a headcount and we will do the arithmetic properly.
- Can we run a working session on board?
- A briefing or an awards dinner, yes — deck or salon, up to about twenty, with a laptop and a portable screen. Breakout rooms and a full AV rig, no. We would rather say that now than on day one.
- What are the payment terms?
- A 50% deposit to confirm, balance 30 days before departure, and the deposit is non-refundable on cancellation. For bookings made a year ahead: 30% to confirm, a further 20% at 120 days, balance at 30 days.
- Will the group have internet?
- On seven of the nine owned vessels, via Starlink. It is satellite — fine for messaging and email, unreliable for twenty simultaneous video calls. Plan the trip as offline and treat connectivity as a bonus.
- Can you invoice a company?
- Yes, and the quotation itemises the charter and the park fees separately so your finance team can see what is a supplier cost and what is a government charge.
